This article outlines the steps involved in saving supporting documents for future orders and viewing/managing them.

Section 1: Saving a custom document for re-use

  1. On step 2 ('Documents') of order checkout, select the custom document you wish to order. Then click the "Upload" button:
  2. In the modal that pops up, click "Select File" and choose the file you want to use. Then check the "I want to use..." box.
    1. You can also add a description for the document. Note: this description is FYI only.
  3. Complete order checkout as you normally would.


After checking out, Community Archives staff will provision your supporting document for re-use. 


Section 2: Using a previously saved supporting document

Community Archives must first provision your document for re-use before you will see the "Use Existing..." option available. If you do not see this option, please review the Section 3 of this article.
  1. On step 2 ('Documents') of order checkout, select the custom document you wish to order. Then click the "Use Existing Custom Form" button:
  2. In the modal that pops up, select the supporting document you wish to use and click "OK"
    1. You can also click the "Preview" button to view the document to ensure you've chosen the right one.
  3. Complete order checkout as you normally would.

Section 3: Viewing/managing supporting documents

  1. To view/manage custom documents for your company, hover over your name at the top-right and click "My Company." Then click "Documents"
  2. From the Documents page, you can view/download the document, 
    1. For documents in "In Progress" or "Ready" status, you can also deactivate the document. To deactivate, click the trash can icon. This will make the document unavailable for your company's shoppers.
  3. Documents will have one of the following statuses:
    1. In Progress - Community Archives is still provisioning your document for re-use. Until complete, you will not see this document available during checkout.
    2. Ready - Community Archives has provisioned your document for re-use and it will appear for you during checkout.
    3. Deactivated - you have indicated that you no longer want us to make that document available for your shoppers during check out (see step 3 for deactivating a document).
